Visa Information for International Participants

The Sustain Natural Conference will take place in Prague, Czech Republic, a member of the Schengen Area. All participants traveling from outside the Czech Republic are advised to review visa requirements well in advance and prepare necessary travel documentation.

The type of visa required (if any) depends on your citizenship. In most cases, attendees will need a Schengen Short-Stay Visa (Type C) for business or conference purposes.

1. EU / Schengen Area Participants

Participants traveling from European Union, Schengen Area, and EEA countries do not require a visa to enter the Czech Republic.

Examples of visa-exempt regions:

  • Germany, Austria, Slovakia, Poland, France, Italy, Spain, Netherlands, Belgium, Sweden, etc.

Travelers must carry a valid national ID card or passport.

2. United Kingdom (UK)

UK citizens do not need a visa for short stays (up to 90 days in 180 days) for tourism or business purposes, including conferences.

A valid UK passport is required.

3. United States (USA) & Canada

Citizens of the United States and Canada may enter the Schengen Area visa-free for up to 90 days within a 180-day period for business and conference participation.

A valid passport (with at least 3 months validity beyond departure) is required.

4. Japan & South Korea

Citizens of Japan and South Korea enjoy visa-free entry to the Schengen Area for short stays up to 90 days. A valid passport is required.

5. Middle Eastern Countries

Visa requirements vary significantly depending on the specific country.

  • Visa-exempt (up to 90 days): UAE, Israel
  • Visa required: Saudi Arabia, Qatar, Kuwait, Bahrain, Oman, Jordan, Lebanon, etc.

Participants from visa-required countries must apply for a Schengen Short-Stay Visa (Business/Conference) before traveling.

6. India

Indian citizens must obtain a Schengen Short-Stay Visa (Type C) to attend the conference.

Participants should check requirements with the nearest Czech or Schengen embassy.

7. China

Chinese citizens require a Schengen Short-Stay Visa to attend the conference.

Participants should check requirements with the nearest Czech or Schengen embassy.

Participants should apply early due to high seasonal demand for Schengen visas.

8. Other Asian Countries

Visa requirements depend on nationality:

  • Visa-exempt (up to 90 days): Singapore, Malaysia
  • Visa required: Philippines, Indonesia, Vietnam, Pakistan, Bangladesh, etc.

Participants should check requirements with the nearest Czech or Schengen embassy.

9. Required Travel Documents (Visa-Exempt Travelers)

Even if a visa is not required, participants must ensure the following:

  • Passport valid for at least 3 months beyond the date of departure
  • Passport issued within the last 10 years
  • Proof of accommodation (hotel booking or conference-arranged lodging)
  • Proof of financial means (may be requested at border)
  • Return or onward travel ticket
  • Conference registration confirmation / invitation letter (recommended)
10. Invitation Letters

The organizers will provide:

  • Personalized Visa Invitation Letters
  • Conference Registration Confirmation
  • Accommodation Verification (if applicable)

Participants needing an invitation letter should contact the organizing secretariat as soon as possible with:

  • Full name (as in passport)
  • Passport number
  • Nationality
  • Date of birth
  • Affiliation/organization
  • Travel dates

We do ask that all participants complete the standard registration process. Upon registration, participants will receive the invitation letters from organizers.

11. Where to Apply for a Schengen Visa

Participants requiring a visa must apply at:

  • The Czech Embassy/Consulate in their home country, or
  • The official Schengen Visa Application Center (e.g., VFS Global or equivalent), depending on country.

Apply at least 4–8 weeks before the conference.

In some regions (India, China, Middle East), 6–10 weeks is recommended.

12. Additional Notes
  • Visa processing times vary by country and season.
  • Travel insurance with minimum coverage of €30,000 is mandatory for Schengen visa applicants.
  • The visa issued will typically allow travel to all Schengen countries, not just the Czech Republic.
  • Participants who are already holding a valid Schengen multi-entry visa do not need to apply again.
